AI workshops for small business owners and teams, in Melbourne or online

Half a day on your real work, not a slide deck about AI. You leave with one job already handed over.

Whale Digital Consulting runs hands-on AI workshops for Australian small businesses. We use your actual admin, quotes and marketing as the exercises, so the workshop ends with something running, not a list of ideas.

3 hours
Half day, one team

Three hours on one workflow. Best when you already know the job that hurts. You leave with that job running and the method to repeat it.

Full day
Full day, one business

Morning on the workflow, afternoon on the second and third jobs, plus setting up the brand rules the AI reads before it writes anything. This is the AI workshop that ends with a small system, not a single trick.

2 sessions, a week apart
One to one

For an owner who wants to learn it properly without the team watching. Two sessions, a week apart, so the second one starts from what actually happened after the first.

Who this is for, and who it isn't

Owners who do their own admin. Small teams, one to twenty people, where the same three jobs keep sliding. Sole traders who've tried ChatGPT and stopped, because typing the same background in every time got old.

You want it working on your own job, not a demo

You're exactly who this AI workshop is for.

You don't know which job to bring yet

That's a diagnosis day, not a workshop.

All three formats run on-site or online

On-site in Melbourne or online across Australia, in English or Chinese. Team sessions cap at twelve people.

It isn't a course for people who want to learn AI in general. It isn't for teams that need a certificate. And we don't run it for a room of forty; past about twelve people, nobody gets their own job worked on.

What an AI workshop actually looks like

9am · you bring
The job that eats your week
By lunch · you leave with
That job running on your own data, and you built most of it
  1. You bring one job, not a topic

A monthly report, a quote, an inbox answering the same question all week. Whichever one you bring, the session runs the same way, because the method is what's being taught, not the tool.

  2. No theory block at the start. No tool tour.

The first hour is spent watching how the job gets done today, because that's the part every AI workshop skips and the part that decides whether anything sticks.

  3. The four questions

We teach the four questions we use on every build: what is, what if, what wows, what works. Learn those and you can keep going after we leave.

  4. If it's a bad fit, we say so on the day

Some jobs shouldn't be handed to AI at all, and you're better off hearing that in hour two than finding out in month three. That's why we ask you to bring a spare: when it happens, we put the rest of the session into that one instead.

  5. Workshop, not talk

A talk leaves you with notes. This ends with a workflow already running on your own data, and a method you can point at the next job. That's the whole difference.

What job can you bring?

Documents and meetings

The recap nobody writes up. The report you rebuild from scratch every month. Bring the recording or last month's version and leave with the draft coming out the way you'd have written it.

Numbers you chase

The export you tidy up before you can even read it. We take the file you already download and turn it into the two numbers you actually check on a Monday.

Quotes and follow-ups

Photos and notes in, a draft quote out, and the follow-up that never gets sent. You still read it before it goes, and that part doesn't change.

The same question, again

Enquiry emails, booking questions, review replies. Drafted from your own words and your own prices, so the answer sounds like you and not like a bot.

Posts you keep meaning to write

One job, one product, one week's news, turned into a caption and a page section in your voice. Nothing goes out until you send it.

Rosters and who's on

The weekly shuffle you do by text after someone calls in sick. Bring last week's roster and the rules you keep in your head, and we'll get the first draft written for you to fix rather than build.

Bring one of these, or bring something that isn't on the list — and have a second one in your back pocket. If the first turns out to be a poor fit for AI, we'll say so on the day and put the time into the spare rather than build it anyway.

What you leave with

  • One workflow running

Built on your own data during the session, not a demo. It's doing the job before you leave the room.

  • The next jobs, ranked

Whatever else surfaced on the day, listed and ranked by time given back, including the ones we'd tell you not to bother automating.

  • The four-question method

Written down, one page, so you can run it on the next job without us in the room.

  • Your context, written down once

Your prices, your tone, the things you always end up explaining. Captured once, so you stop retyping it into a chat box every time.

  • What we tried and dropped

The approaches that didn't hold up on the day, and why. It stops you paying to rediscover them in three months.

  • A person still in charge

Every workflow ends with someone reading the output. That's taught, not assumed. We don't hand out a certificate. We hand over a workflow that's already doing the job, which tends to be the thing people actually wanted.

We use it on ourselves first

We build our own tools before we teach them

Our dashboard, our bookings demo and our free tools are things we built and use ourselves. The workshop teaches the version that survived contact with a real business, ours, including the parts we had to throw out.

Why every workshop ends with something running

So when we say an AI workshop should end with something running, it's because that's the only kind we've found worth the day.

What it costs

Free 15 to 30 minute intro
Quoted by format, headcount and the job
Melbourne on-site or online across Australia
English or Chinese

The first conversation is free, 15 to 30 minutes, in Melbourne or online. Workshops are quoted once we know the format, the headcount and the job you're bringing.

Questions we get asked

No. You need to know your own job. The workshop starts from how the work gets done today, and the AI part is taught on top of that. People who've never opened ChatGPT do fine; people who've used it a lot unlearn a bit.

The ones you already pay for where possible. We're not selling a subscription, so the tool is picked for the job, not the other way round.

Hands-on. Laptops open, your real data, one workflow running by the end. The talking part is short and it's mostly questions. If you want a lecture, there are free ones on YouTube and they're good.

Yes. Same workshop, same trainer, in English or Chinese. Mixed rooms work too, and the brand rules you set up can be in either language.

You keep running the workflow. If you want a second one built, that's a diagnosis day with an AI consultant, and we tell you straight if it's worth it.

The intro call is free. The workshop is quoted after it, based on format and headcount. We don't run a public rate card because the formats aren't interchangeable.
