We start by watching how you actually do the job today — not by asking you to describe it. From that, we find the one step costing you the most time, build a small AI workflow around just that step, and check the result with you before moving to the next one. That is the whole method: not one-off answers, but a workflow where a finished piece of work automatically hands off to the next step — and why a single workflow can grow into a custom AI system without a big-bang install.

Job → widen → narrow

With the design loop, we don’t start from a tool. We start from the job: widen first (what’s really going on, what could change), then narrow (what’s worth building, what actually works). Four questions, in order, on repeat. Nothing goes out to a customer without a person reading it first.

  1. Map. What is happening now?

    We sit with you (or watch remotely) and write down how the job actually happens today — who touches it, which apps and spreadsheets it passes through, where it slows down, and where mistakes creep in. This is usually where we also find that a lot of what feels like 'the business's data' is really sitting in someone's personal WhatsApp, personal phone or personal inbox — not anywhere the business itself owns or can hand to a new hire, let alone an AI. No tool talk yet. This becomes the 'before' picture everything else is measured against.

  2. Match. What if AI took part of it?

    We go through that 'before' picture step by step and ask, honestly, which parts AI can actually help with — drafting, summarising, chasing, sorting — and which parts still need a person's judgement. The best place to start is the job that happens often, has a clear moment where information comes in and a clear moment where something needs to go out, and is easy to undo if the first attempt is wrong — not the most exciting job, the safest one to learn on. We test what you already pay for before suggesting anything new.

  3. Build. What would wow you?

    We build the smallest version that could work — what's often called an MVP (minimum viable product). Not a stripped-down toy, and not the full finished system either: just the one workflow, built on your real prices, real customer messages, real documents, that proves the idea on an actual case from your business. If it doesn't hold up, we've lost a day, not a month.

  4. Verify. What actually works?

    You run it for a week on real jobs. A person still signs off before anything reaches a customer. If it holds, we move to the next task eating your time — that's the loop, not a one-off project.

Where it's allowed to look. Your price list, your booking calendar, your FAQ doc — never guessing, never pulling from somewhere you didn't hand over.

What it can see, and what it can't. Staff pay, customer payment details, anything sensitive stays off-limits unless you say otherwise.

Action boundary

Draft and prepare, or send and execute? We set this per job. Most start as draft-only until you're comfortable handing over more.

Sign-off loop

When a task's done, it lands somewhere specific — your inbox, your calendar, your CRM — and you're the one who checks it before it goes out.
